2025 ESA Membership Auto-Renewal Promotion Terms and Conditions 

 

This Promotion is governed exclusively by the laws of the United States. You are not authorized to participate in the Promotion if you are not located within the fifty (50) United States, the District of Columbia or in Puerto Rico. 
 

DATES OF PROMOTION. Offer valid starting 9:00 AM, Eastern Time, on August 19, 2024 until 11:59 PM, Eastern Time on September 19, 2024 on www.entsoc.org.  
 
PRIZE. All members who enroll in the Entomological Society of America (ESA) Membership Auto-Renewal program for the 2025 ESA membership during the promotional period (August 19 – September 19, 2024, 11:59 PM ET) and have the 2025 ESA membership fee charged on October 21, 2024, will receive a one-time free gift of a $5 e-gift card to BioQuipBugs (https://bioquipbugs.com), while supplies last. 
 

The prize cannot be transferred, exchanged for cash, or substituted except by ESA, who reserves the right to replace the prize with one of comparable or greater value. Any and all taxes on the prize are the responsibility of the winners. ESA is not responsible for any delays or loss of the prize in connection with delivery via email. The gift card can only be redeemed at BioQuipBugs and cannot be exchanged for cash, check, or credit. Treat the gift card like cash; it will not be replaced if lost or stolen. 

 

CONDITIONS. ESA is not responsible for any lost, incomplete, invalid, misdirected, or undeliverable entries due to system errors, omissions, interruptions, deletions, defects, delays in operations or transmissions, theft, destruction, transmission failures, or other telecommunications malfunctions. This includes human error, entries not received due to hardware or software failures, lost or unavailable network connections, failed, incomplete, or garbled computer transmissions, typographical or system errors, and technical malfunctions. 

 

The free gift will be added automatically when a valid payment method saved and authorized for automatic membership payment is successfully processed. All free gifts are subject to availability. Gifts will be emailed on or before November 10, 2024, to the preferred email address on file with ESA following an approved credit card or ACH payment on October 21, 2024, the scheduled 2025 ESA membership auto-renewal date. There are no cash alternatives or substitute gifts. By completing the auto-renewal enrollment without opting out of the free gift offer, you agree to these terms and conditions. 

 

ELIGIBILITY. Promotion is open only to legal residents of the fifty (50) United States, the District of Columbia or Puerto Rico, who are eighteen (18) years of age or older or the age of majority in their state of residence (which is nineteen (19) in Alabama, Nebraska, twenty-one (21) in Mississippi, and eighteen (18) in all other states) as of the date of entry (the “Entrant”). Void outside of the fifty (50) United States, the District of Columbia, Puerto Rico, and where prohibited, taxed or restricted by law. 

 

 

Terms and Conditions of Auto-renewal 

 

Auto-renewal is a convenient way to renew your memberships and subscriptions. By opting in for auto-renewal, you hereby authorize ESA on an automated basis to: 

  1. Renew the ESA membership(s) and the publication subscription(s) you have selected at the end of the billing term. 

  1. Charge the applicable membership and publication subscription fees to the credit card that you have saved on file. 

Participation in the auto-renewal program is continuous until you cancel. 

Membership: 

2025 ESA membership auto-renewal payments will be processed on October 21, 2024. You can view membership rates here. You will be sent an email notification to let you know when you will be charged, and for how much. You can opt-out any time before October 20th on the "Edit Saved Payment" page of your online member profile.  

Publications: 

2024 ESA publication subscription auto-renewal payments will be processed on October 21, 2024. You can opt-out any time before October 20th on the “Edit Saved Payment” page of your online member profile. 

 

To enroll a new payment method in the auto-renewal program:  

  1. Login to ESA online account  

  1. Select the “Invoices & Receipts” tile 

  1. Click the “Edit Saved Payment” link 

  1. Follow on screen instructions to create a new saved account  

  1. Enter credit card or ACH information  

  1. On the following page under the “Authorization” header check the box “Automatic payment for Membership” and enter a “Use Until Date” if desired. (Repeat for “Automatic payment for Publications” if desired.) 

  1. Check box for “Acceptance of Authorization Terms”  

  1. Click “Submit”  

 

To authorize an existing saved payment account for the auto-renewal program:  

  1. Login to ESA online account  

  1. Select the “Invoices & Receipts” tile 

  1. Click the “Edit Saved Payment” link 

  1. Click the “Update” button under the appropriate saved payment record 

  1. On the following page under the “Authorization” header check the box “Automatic payment for Membership” and enter a “Use Until Date” if desired. (Repeat for “Automatic payment for Publications” if desired.) 

  1. Check box for “Acceptance of Authorization Terms”  

  1. Click “Submit”  

 

Notice of auto-renewal 

You will be sent an email notification to let you know when you will be charged, and for how much. 

 

Membership: 

You will be sent an email notice approximately 30 days before being charged. 

 

Subscriptions: 

You will be sent an email notice approximately 30 days before being charged. 

 

You can Manage Your Payment Options and auto-renewal preferences by accessing your ESA online account.  

 

All notices regarding your auto-renewal subscription will be sent to your primary email address on file. You are responsible for canceling your subscription regardless of whether you receive any notification from us. 

 

Cancel auto-renewal 

You may cancel auto-renewal at any time.
